Job Title: Logistics Coordinatorday shift $25-28 to start based on experience Benefits Excellent Pay and Benefits 85% paid benefits, great PTO and Holiday benefits company has a gym on site Job Description:Position Overview: highly organized and detail-oriented Logistics Coordinator with excellent Customer service, computer skills, and documentation. This role involves managing the logistics of parts coming in and shipping out, handling emails, confirming arrivals, preparing quotes, and occasionally assisting in the warehouse, including operating a forklift. Key Responsibilities:
Logistics Management: Oversee the receipt, storage, and dispatch of parts and materials. Ensure timely and accurate processing of orders and shipments.
Documentation: Maintain comprehensive and accurate records of all logistics transactions, including inbound and outbound shipments, inventory levels, and order statuses.
Communication: Respond to emails promptly, confirm arrival of shipments, and provide quotes. Communicate effectively with suppliers, customers, and internal teams.
Inventory Control: Monitor inventory levels and coordinate with procurement to ensure stock availability and accuracy.
Process Improvement: Identify and implement improvements in logistics processes to enhance efficiency and reduce costs.
Warehouse Support: Occasionally assist in the warehouse operations, including operating a forklift to move and organize materials.
Safety Compliance: Adhere to all safety protocols and regulations while performing warehouse duties and ensure the warehouse environment is safe and organized.
Qualifications:
Education: High school diploma or equivalent; additional education in logistics, supply chain management, or a related field is a plus.
Experience: Proven experience in logistics, supply chain management, or a related field.
Technical Skills: Proficient in using computer systems and software for logistics management and documentation. Experience with Microsoft Office Suite (Excel, Word, Outlook) is essential.
Communication: Excellent verbal and written communication skills. Ability to respond to emails professionally and promptly.
Organizational Skills: Strong attention to detail and ability to maintain accurate records. Excellent time management and multitasking abilities.
Problem-Solving: Ability to identify and resolve issues related to logistics and inventory management effectively.
Forklift Operation: Certified forklift operator or willing to undergo certification.
Warehouse
Keep the warehouse clean and organized.
Make sure all parts are put away in the correct location.
Keep the office clean and organized.
Keeps docks and doors clear of obstruction.
Order supplies as needed for shipping and get competitive pricing.
Example: boxes, peanuts, packing, etc…
Parts Dept:
Answer all incoming parts calls, return calls that were missed.
Answer all emails with quotes, order confirmations, or get it to the right department.
Look up parts inquiries and quote correct items, if not known ask service to help or get in touch with VOBI to get a correct answer.
Check incoming faxes and reply to customers with pricing and stock level.
Software duties:
Place sales orders in Syspro double checking correct bill to and ship to addresses along with correct shipping allocation and making sure correct part numbers and quantities.
Quoting parts through inventory system and checking to make sure stock items.
Yearly physical inventory on all parts and machines. If requested cycle counts to make sure inventory is correct.
Updating ship to addresses on our customers that are distributors.
Look over sales orders to make sure shipping costs were added when needed to. make sure you read notes on sales orders that are not supposed to be invoiced yet.
There are a lot of aspects in Syspro that people need trained on that they are not involved in. Adding part numbers, where to find things, what screens to go to…it takes time to learn but does need training.
Incoming shipments:
Make sure no damage to shipment when arrives
Give Purchasing Manager packing lists for receipts.
Inform Purchasing manager when shipment arrives so she can run the back-order sheet for parts to go through shipment.
Make sure all items are brought in correctly and placed into proper bin locations.
Run back orders through Syspro and pull all incoming orders to be shipped out per sales orders.
Shipping:
Make sure you double checked the order verse what items were pulled for order. Package with enough packing that shipment contents won’t get damaged.
Be familiar with UPS and FedEx system.
Make sure when placing into these systems you are shipping to the right destination and right shipping speed request. Example - ground, NDA, 2 days etc.
Place label and packing slip on correct box you packed.
Machines Shipments inbound:
Unload machines with forklift-certification
Make sure when machines arrive you check crates and machines for damage.
Scan drop detector and email data to VOBI on the qualified machines.
Give machine and serial numbers to Stacy for machine receipt.
Outbound machines:
Make sure you have folders.
Verify content.
Pull items that need to ship with machine and remove items that are stated if needed.
Place drop detectors on machines and register them.
Contact trucking companies to get quotes and set up trucks. Get multiple quotes for competitive pricing.
Contact customers to verify what type of truck they can unload.
Load machines onto trucks with forklift -certification
